PCC Policies - Child Protection Introduction Ordsall Parochial Church Council is responsible for information held about individuals in its name and for its purposes. The Data Protection Act has altered, and although the Parish no longer needs to be registered, it is appropriate for the parish to have a Data Protection policy and to keep it under review Principles of the Data Protection Act • Information use must be fair and lawful • It must only be used for the specified purposes • It must be adequate, relevant, and not excessive in relation to its purpose • It must be accurate and up to date • Information must not be kept longer than necessary • Individuals have rights of access to information concerning them • Information must be kept secure • Information must not be transferred to any country outside Europe without adequate data protection in place What information? See table Not all the information that we collect and keep is covered by the Data Protection rules - for example statutory information such as the Electoral Roll, Wedding and Baptism Registers. However, it seems sensible to have one policy covering all the personal information we hold. Information relating to the running of the organization (finance, building matters minutes, policy decisions etc.) is not covered by this policy. Purposes Information is held for the following purposes: • Information necessary for running Ordsall Parish (including internal finances; Sunday Schools; follow-up after occasional offices). • Legally required information: Weddings, Baptisms, Electoral Roll Location See table. Access Information kept about an individual should be made available to that individual on request. Access to some information (e.g. ex-directory telephone numbers) will be restricted in accordance with the wishes of the person the information refers to; some will be restricted in accordance with the conditions on which people gave us the information in the first place (e.g. financial information). In most cases information held by the church is freely available to those authorized by the PCC to conduct its business. Usage Information may only be used in pursuance of the objects of the PCC. Therefore the data holders must not use information for any other purpose, and any church officer authorised to act on behalf of the PCC in particular ways may make relevant use of such information. Sharing Personal information will not be shared with other bodies (including other church bodies) except with the permission of the data subjects. Security See table Destruction See table In general, financial records should be kept the longest (6 years) and other records should be destroyed or archived when no longer needed for PCC purposes. The parish has a shredder for the destruction of personal records. Responsibility Responsibility for implementation of this policy lies with the priest in charge, Paul Bagshaw.
