PCC Minutes - January 2009

 Minutes of the Parochial Church Council held on Wednesday January 28th in All Hallows Church  

1.       Present:. Carole Robinson, Joan Henderson, Edwin Stockdale, Bill Taylor, Margaret Akerman, Olwen Kerswill, Barbara Burrows, John Plumtree, Pat Spruyt, Helen Richards

Apologies: Jean Stockdale, Kenny Newstead, Ann Edwards, Alison Thorpe, Pauline Partridge, Hillary Liddle, Richard Sendall.

2. Minutes of the last meeting held on Tuesday December 9th had been circulated and were agreed as a true record and were adopted.

3. Minutes of Standing Committee meeting held on Thursday January 8th, previously circulated, were accepted.

4. Correspondence none

Pastoral

Worship, caring for people, safe church, child protection, visiting group

·         Christmas services were reviewed and agreed as being very good.

·         A verbal report was given of the January 13th meeting which included details of the numbers of home communions, the weekly giving envelope scheme, a new system to coordinate an parochial response to urgent requests for pastoral care, concern over lack of follow up visits to bereaved families if funerals not conducted by clergy from within the parish and praise for the system of baptism anniversary cards sent to families.

·         Details of upcoming services were agreed:

o        Christingle is to be on Nov. 28th 2009, A celebration of marriage service on Feb.8th, an evening service on the second Sunday of each month and an  Iona style worship on March 8th.

·         Lent services were discussed. The arrangements for the planned study course on Friday evening are to be confirmed. There will be an Ash Wednesday service at Gamston (Feb. 25th).Compline to be discontinued due to low attendance. On Maundy Thursday (April 9th) there will be at Pass over meal and alter stripping service at All Hallows, on Good Friday (April 10th) there will be a Stations of the Cross service at Elkesley starting at 7.00pm replacing the afternoon Meditations of the Cross at Ordsall and on Easter eve (April 11th) there will be a Service of Light at All Hallows.

·         Thrumpton school are visiting All Hallows on Friday April 3rd.

·         A meeting with the Elkesley Group has taken place and it has become apparent that they are largely happy to continue with their own arrangements for services etc. It was agreed that Ordsall will continue to extend invitations to the Elkesley group for all our events and services

·         The welcome extended to children and families at Sunday services was discussed and appropriate activities, toys and resources were considered.

·         Motion: For the benefit of children this PCC agrees to the purchase of a bean bag seat (price £20)and a low coffee table (price £51) proposed O. Kerswill seconded E. Stockdale. Carried by 10 votes for, nil against, 1 abstention.

o        Caution was urged regarding ‘snatched’ photographs of children snapped during services at other churches.

·          Carol Sheets -a need for additional sheets has been identified.

·         Motion: This PCC agrees to the purchase of 50 additional copies plus 20 copies of the musical setting of the Bethlehem Carol sheets at a cost of approx. £70. Proposed P. Spruyt seconded c Robinson carried unanimously.

·          Porch gate netting a quote has been received from the gate manufactures of £400 to carry out the netting work.

·         Motion: That this PCC accepts the quote of £400 to net the porch gates. Proposed J. Plumtree, seconded P Spruyt, carried unanimously.

 

 

 

Business

Buildings; finance; staffing, other PCC responsibilities,

·         Finance  A verbal report was presented by the treasurer explaining that expenditure has exceeded income due to extraordinary expenditure on internal work and a rise in the parish quota plus a reduction in income from both covenants and investments.

·         St Albans. J Plumtree has contacted the chief executive and is awaiting a reply. The additional scaffolding is due to the instability of the external walls.

·         Church yard  B. Burrows has written to the Home Office regarding the proposed closure.

·         AGM Discussion took place as to the chairing of the forthcoming AGM.

·         Motion: That the lay vice chair chairs the AGM Proposed J. Henderson Seconded B. Taylor carried unanimously.

·         .Tower roof repairs are expected to cost £18,000.

·         Motion: That this PCC accepts the quote of £17,500 for repair to the tower. Proposed J. Plumtree seconded J. Henderson carried unanimously.

·         Heating The report from DAC still awaited.

·         Hall. The Business Group have had a site meeting to consider the required remedial work. The diocese are investigating if the Whitehall Youth Fund monies can be released for spending on the hall, which if available would be sufficient (along with the already identified £13,000) to carry out the remedial work at the rear of the hall. 

 

Communications

Keeping everyone informed: Magazine, website, newsletter, publicity

·         The web site, magazine and publicity were regarded as successful.

External Liaison

With Deanery, Diocese, Elkesley Group, Methodists; RCIP; Ghana;

·         Vacancy the second advert has resulted in only 3 application packs being sent out with no firm applications received. The Archdeacon plans to ‘phone all those who have expressed an interest and hopes that the interviews set for Feb. 7th may still take place. The cost of the £700 advert is to be met by the parishes with Ordsall responsible for 50%

Existing groups

Events, Flower people,  Wildlife Group, Bell ringers, Monday Group

·         Events Committee are meeting on Mon. Feb. 2nd to discuss the quiz (Feb. 21st) and the summer fair ( June 27th)

·         The Christian Aid Lent lunches were discussed as was the future of the week long envelope collection. Concerns were raised as to the safety of the collectors but it was felt that it was both an example of outreach and also a highly visible church activity.

·         C Magazine B. Sturgess informed the PCC that she is unable to continue as the organiser of the C magazine. J Henderson agreed to take on the organisers role

·         Parish Magazine B Sturgess informed the PCC that she would like to step down from handling the magazine money. It was decided that a master list of all magazine subscribers should be compiled. Magazine distributors are to be requested to submit a full list of everyone on their magazine round.

·         The Bishops Lent appeal is for St. Georges, Baghdad. It was agreed that a retiring collection would be donated.

·         Votive stand  It was agreed that the Sides men should be requested to light a candle on the stand as part of the preparation for each service and to act as votive ‘monitors’ clearing spent candles etc.

·         Office relocation Gratitude was expressed to individuals who had assisted in the successful relocation of the office into the vestry..
